We are currently looking for an experienced, professional, detail-oriented Assistant Project Manager to work in our Harrisburg, PA office.

PROJECT DESCRIPTION

The Assistant Project Manager (APM) is responsible for planning, organization, direction and control of assigned project(s) to meet the operational needs and goals of Poole Anderson. The APM will join in on company initiatives and provide mentoring and support to others junior employees within the company. The APM must embody Poole Anderson’s commitment to safety, quality, and integrity while efficiently managing and executing project(s) in accordance with budget, schedule and quality goals.  The APM serves professionally as Poole Anderson’s project representative in relations with clients, designers, subcontractors, and vendors.

RESPONSIBILITIES

  • Participate in the pre-construction process (when applicable).
  • Prepare agenda, schedule and lead Kick Off and Turnover Meetings.
  • Assist the PM with leading the baseline schedule creation with support from the superintendent and other team members if applicable. Perform updates no less than monthly and distribute to project participants.
  • Maintain good, clear, and consistent communication with all project parties.
  • Manage Request for Information (RFI) process.
  • Manage Submittal process expediting and reviewing submittals, expediting consultant reviews, and distributing to all associated parties.
  • Maintain project logs and distribute updates as required.
  • Assist in obtaining prime contract documentation (insurance, bonds, etc.), reviewing contract for conformance with bid documents, and distributing executed contract to appropriate parties.
  • Utilize estimates to establish budgets (Job Cost Breakdown) and Schedule of Values. Manage and update the budget (Cost Forecast) monthly.
  • Prepare invoices (monthly), obtain approval, expedite approval/payment, and monitor status and cash flow.
  • Identify Owner-initiated changes, provide appropriate notification(s), distribute to required parties, estimate impacts, prepare change requests, negotiate pricing, prepare change orders, and expedite resolution.
  • Solicit additional bids (if applicable), create, and issue subcontracts and purchase orders and coordinate with the project administrator to distribute to required parties.
  • Schedule and assist in leading scope review meetings with potential subcontractors, maintaining and distributing meeting minutes.
  • Schedule and assist in leading subcontractor job conferences. Perform, or coordinate the creation and timely distribution of meeting minutes.
  • Review, with the assistance of the PM, Superintendent, subcontractor and supplier invoices and billings
  • Ensuring compliance with all corporate and project requirements. Approve and code invoices and COMMUNICATE with Accounts Payable. Monitor outstanding invoices to ensure prompt payment.
  • Review subcontractor and supplier change requests, incorporate into change requests to the Owner, generate change orders (Commitment Change Orders), and distribute to required parties.
  • Expedite, review, and assemble closeout documentation including Warranties, O&M data and as-builds for TIMELY submittal of O&M Manuals.
  • Participate in preparation of punchlist (Pre-Architect Punchlist) and distribute to all required parties.
  • Finalize change orders, payment applications, and other documentation in order to close out the project in a timely fashion.
  • Generate Historical Cost Report. Schedule and assist in leading project completion meetings.  Document lessons learned for future use.
  • Participate in supervision, training, development, and mentoring of assigned Project Engineers, and Project Assistants.
  • Learn, master and utilize company technologies including, Procore, Bluebeam, Primavera P6, Bridgit etc.

REQUIRED SKILLS

  • Experience in Construction Management, General Contracting (self-performance) and Design Build delivery methods preferred.
  • Must be knowledgeable with OSHA standards and compliance as well as possess the 30 hour OSHA certification
  • Ability to communicate with and coordinate all team members to properly execute the project(s).
  • Be able to participate in all phases of preconstruction, construction and closeout.
  • Ability to create constructability reviews and site logistic plans.
  • Competency in project management software, Procore, Bluebeam, primavera, and Microsoft office suite.
  • Must have experience and proficiency in all divisions of work, methods, materials, scheduling, and cost control. Strong technical and communication skills are critical.
  • Must have extensive knowledge of Construction practices as well have management experience with cost, change, schedule, submittal and shop drawing and RFI processes.
  • Must be willing to travel and work throughout Pennsylvania
  • Positive attitude and professional customer service skills

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in Construction Management or Engineering. MS preferred.
  • 5+ years’ experience on projects having costs ranging from $100,000 to $30,000,000 in value.
